We are seeking an experienced Administrative Assistant to operate our customer’s Visitor Control Center and provide travel and expense processing support to the GRASP Program team. As a valued member of the GRASP team, the Administrative Assistant will work with our customer’s site security office verifying visitor requests for the facility, greeting visitors, providing appropriate visitor badges, and support visitor control center tasks as defined by our customer. Additionally, the Administrative Assistant will prepare and adjust travel arrangements and complete travel expense reports for the GRASP Program team.
In this role, the Administrative Assistant will report to the GRASP Program Manager as a part of the Program Management Organization (PMO). They will also assist with coordinating business meetings, arranging, maintaining, and modifying the PM’s schedule and associated activities, and will maintain effective and efficient organization of administrative requirements. This position is located at Midway Research Center, Stafford, VA and is contingent upon contract award.

The position requires excellent communication skills, an ability to multi-task and organize/prioritize tasks independently, strong time management skills, strong office management and interpersonal skills, self-motivation, and the ability to collaborate in a team environment.
What you’ll get to do:
Support Site Security: submit, process, and approve visit requests site-wide
Greet and provide direction to site visitors and assign appropriate badging
Diplomatically interface with all levels of management, employees, internal and external customers and vendors.
Prepare and adjust travel arrangements and complete expense reports.
Provide backup support to the Program Manager Administrative Assistant with coordinating and maintaining the PM’s calendar (meetings, schedule, deliverables).
Arrange meetings, set up and maintain files, arrange and set up food orders for special program and campus events.
Periodically assist with coordination and integration of presentation material from team members and will have the opportunity to help with the execution of customer and team meetings.
Prepare and release a variety of complex communications and documents that affect the business area; design and maintain procedures; appropriately handling confidential information is critical.
The candidate will be reliable, resourceful, work accurately and independently with an ability to anticipate, initiate and follow through with all responsibilities.
Additional Responsibility: One 1st or 2nd weekend shift ~every 14 weeks
Basic Qualifications:
Ability to obtain a security clearance.
Admin 3: High School diploma or equivalent and 4 years additional education and/or related experience
Admin 2: High School diploma or equivalent and 3 years additional education and/or related experience
Proactive, highly motivated and adaptable, with excellent organizational skills including the ability to juggle multiple tasks, changing needs, and competing priorities. Individual must be able to complete a wide variety of tasks with minimal supervision
Able to work in a dynamic, operational environment at a government off-site
Experience working in a technical environment, with interface to engineering and science leaders, managers, and employees
Ability to efficiently coordinate Outlook calendar and high tempo travel schedules
Experience with travel and expense reporting system(s)
Expertise in Microsoft Office Suite (Word, PowerPoint, Outlook and Excel) and intranet/internet proficiency
Demonstrated ability to maintain confidentiality
Preferred Qualifications:
Experience and proficiency with Concur travel and expense reporting system
Experience working in a defense customer and aerospace industry firm
Experience with Northrop Grumman processes and procedures
Salary Range: $44,600 - $74,400
Salary Range 2: $53,000 - $88,300
The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.
Employees may be eligible for a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
