Northrop Grumman Aerospace Systems' Industry Positioning team is part of the sector's Global Strategy and Mission Solutions organization and is tasked with providing strategic solutions that address competitive gaps in the sector's scale in markets, technology and product portfolios. Industry Positioning organization plays a key role in the sector's long-term strategy with responsibility for competitive intelligence, market assessment, intellectual property management, strategic analysis and strategic transactions (e.g. Mergers & Acquisitions/Licensing).

Industry Positioning is seeking an Administrative Assistant to join our diverse, highly dynamic team. The successful candidate will be a vital member of the team and perform in an administrative leadership role.

This is an exciting opportunity to work at the cutting edge of our sector's business priorities, which by nature of the position involves high-level contacts and exposure to sensitive information necessitating considerable use of tact, diplomacy, discretion, and judgment.

The individual must work well with a dynamic team, be an independent thinker, highly motivated, proactive decision-maker and have a track record of working in a fast-paced, multi-faceted environment with a daily workload supporting multiple directors, managers, professionals, and priorities as required.

The selected candidate will have outstanding verbal and written communication abilities, as well as sound interpersonal skills.

Responsibilities include but are not limited to:

  • Normal administrative and clerical duties of a senior administrative assistant, supporting an organization of approximately 15 people, including several Directors.

  • Maintain calendars, manage schedule conflicts, provide coordination of extensive, frequently changing travel arrangements, expense reports and all forms of correspondence.

  • Communication with executives, management, and administrative personnel to gather or convey relevant information.

  • Arranging critical management meetings.

  • Coordination of briefings/presentation material.

  • Provide administrative support to the NGAS' Intellectual Property process, including communicating with inventors and the Corporation's IP Legal organization.

  • Performs normal office functions such as setting up and maintaining files.

  • Receives, screens, and transfers telephone calls for management.

  • Proofreads sensitive draft and finished documents.

  • Answers questions relating to office operations and established policies/procedures.

  • Gathers, compiles and reports on information relevant to supervisor's assignment.

  • Assists with the management of events and activities related to organizational initiatives.

  • Establishes relevant stakeholder relationships and collaborates administrative processes across the larger Global Strategy and Mission Solutions organization.

Basic Qualifications:

  • High School/GED diploma and 6 years of experience, including experience supporting Directors in an administrative support position.

  • Demonstrated ability to interact effectively across all levels of an organization, including experience interacting with internal and external senior executives and staff in a professional manner.

  • Ability to protect and maintain confidentiality.

  • Ability to execute tasks and projects independently using advanced Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Experience with Concur (or similar) travel and expense reporting system.

  • Ability to obtain and maintain DOD Secret Clearance.

Preferred Qualifications:

  • Active DOD Secret/Top Secret Clearance.

  • Bachelor's Degree.

  • Experience working in the defense and aerospace industry.

  • Prior experience dealing with Intellectual Property/Patents.
